The PAIA Guide
The Information Regulator has published a guide on how to use PAIA, in each official language. It is available from the Information Regulator at inforegulator.org.za, or from the Regulator's offices.
Records held
We hold records in the following categories. Listing a category here does not mean the records in it are automatically available; a request is considered against the grounds for refusal in PAIA.
| Category | What it contains |
|---|---|
| Company records | Registration documents, share and director records, tax records, statutory registers |
| Financial records | Quotations, invoices, receipts, payments, bank records, financial statements |
| Client records | Contact details, correspondence, agreements, scopes of work, project records |
| Project and delivery records | Requirements, milestones, tasks, risks, review and handover records |
| Studio records | Photo book orders, designs and uploaded photographs |
| Training records | Learners, enrolments, attendance registers, assessments, results, certificates |
| Employment records | Contracts, credentials, remuneration and related records for staff and contractors |
| Quality and security records | Policies, procedures, registers, audit and incident records |
| Supplier records | Agreements, purchase orders, correspondence |
Records available without a formal request
Some records are published or given out as a matter of course and do not need a PAIA request: our services and prices, this manual, our privacy notice, our terms of service, and anything we have already provided to you as our client — your own quotations, invoices, agreements and certificates. Ask us and we will send them.
How to request a record
- Complete the prescribed request form published by the Information Regulator.
- Send it to the Information Officer at info@beplugged.co.za.
- Provide enough detail to identify the record, and the form in which you want it.
- Provide proof of identity, and of your authority if you are acting for someone else.
- State the right you are seeking to exercise or protect, and why the record is required for it.
We will decide within 30 days and tell you the outcome. That period may be extended in the circumstances PAIA allows, and we will tell you if it is.
Fees
PAIA allows a request fee and an access fee, prescribed by regulation. We will tell you what is payable before we process a request, and no personal requester pays a request fee for their own personal information.
Grounds for refusal
PAIA requires or permits a request to be refused in certain circumstances, including where a record contains someone else's personal information, commercially sensitive information of a third party, information given in confidence, or legally privileged material. Where we refuse, we will tell you why and how to appeal.
Remedies
If we refuse a request, or do not respond in time, you may complain to the Information Regulator or apply to a court. The Regulator's details are at inforegulator.org.za.
